Conversation AI for agencies: define the human handoff first

An AI conversation service needs an answer to a basic question: when should it stop talking and involve a person? Agencies should settle that before polishing the greeting. A useful handoff protects the customer experience and gives staff enough context to continue.

Limit the initial job

Choose a narrow purpose such as answering approved opening-hours questions, collecting a few qualification details or directing a suitable prospect to booking. Define what the system must not promise, including prices or availability it cannot verify.

Use the client’s approved information and identify who maintains it. A technically capable assistant can still give an outdated answer if the underlying business rules are stale.

Write escalation cases

Include a direct request for a person, repeated misunderstanding, a complaint and a question outside the approved scope. Decide which team receives each case and how the customer is told what happens next.

HighLevel provides a Human Handover action, but a feature is only part of the operating process. The receiving team still needs coverage, a queue and a clear responsibility to respond.

Test realistic ambiguity

Use incomplete questions, spelling errors and changes of subject. Test a person who does not want to book. Confirm that the system does not keep pushing the same next step after it becomes inappropriate.

Check what information passes to staff. A useful handoff includes the conversation and the unresolved need. Making the customer repeat everything can erase the convenience the automation was meant to provide.

Keep intervention available

Agree who can pause or change the assistant and how incidents are recorded. Review a suitable sample of conversations after launch. Track unresolved cases as well as completed bookings.

Price the oversight

Include knowledge maintenance, conversation review, escalation support and usage in the service design. Do not present an AI assistant as a staff replacement unless the actual responsibilities and evidence support that claim.

For an agency, a modest, well-supervised service can be more credible than a broad promise of autonomous sales. Start with an approved use case, measure the quality of the interactions and expand only when the operating process can support the additional responsibility.
